Our client is looking to recruit a Senior Front Office Coordinator to join their team.

Main Duties & Responsibilities:

- Greet visitors in a warm, professional manner, ensuring a positive and welcoming first impression;

- Oversee the daily operations of the reception area to ensure smooth, efficient functioning and compliance with internal standards;

- Provide guidance and day-to-day support to the Front Office Administrator, as required;

- Manage incoming telephone calls and emails, directing enquiries to the appropriate departments or individuals;

- Ensure the reception area is kept organised, professional, and welcoming at all times;

- Establish and maintain positive working relationships with colleagues, stakeholders, and external service providers;

- Administer and maintain the Visitor Management System;

- Oversee and support the timely, accurate logging, distribution, and tracking of incoming mail and correspondence;

- Coordinate and support meeting arrangements, including scheduling, room setup, and related logistics;

- Manage filing systems, calendars, meeting schedules, and ensure accurate and up-to-date record keeping;

- Process invoices, including posting, reconciliation, and collection of supporting documentation;

- Support credit control activities and follow up on outstanding matters as required;

- Assist in the preparation and coordination of documentation for annual audits;

- Coordinate travel arrangements for staff when necessary;

- Provide logistical and administrative support for events, courses, and training sessions;

- Perform any other administrative or clerical duties as assigned by senior management;

Experience & Qualifications:

- An MQF Level 4 qualification, preferably in Administration or Secretarial Studies, together with at least three (3) years of relevant work experience; or

- A School Leaving Certificate supported by a minimum of six (6) years of relevant work experience;

- Excellent verbal and written communication skills in both Maltese and English;

- Strong proficiency in Microsoft Office applications and other office automation tools;

- A professional and approachable manner, with high standards of integrity and a positive contribution to team culture;

- Strong organisational abilities with exceptional attention to detail;

- The ability to deliver consistent, high-quality service across a broad range of administrative and visitor-facing responsibilities.
