Our client is looking to recruit a Senior Committee Coordinator.
Job Description:
- Schedule Compliance Monitoring Committee meetings, including coordinating availability with members to ensure full attendance;
- Serve as the primary point of contact for meetings, preparing and distributing agendas in advance, managing updates, and coordinating time allocations for each case to ensure adherence to schedule;
- Coordinate with internal officers and designated agents to ensure all relevant information, documentation, and resources are available in a timely manner for use during Committee meetings;
- Facilitate Committee meetings by assisting with legal discussions, accessing portals and websites to provide real-time information, and offering support as needed to Committee members;
- Accurately document detailed and professional minutes of all Committee meetings, manage finalisation and signature collection, and ensure signed copies (along with annexes) are digitally archived and physically filed;
- Maintain and regularly update trackers and logs as required for monitoring Committee activity and decisions;
- Monitor and follow up on all decisions made by the Committee, ensuring they are acted upon promptly while keeping members informed of progress and updates;
- Liaise with local and international supervisory authorities in relation to enforcement measures and related matters, as necessary;
- Support the review, update, and implementation of internal policies and procedures relevant to the enforcement function;
- Assist and train officers in preparing and presenting cases before the Committee, including highlighting key points from past discussions and decisions, and using visual tools to illustrate findings and trends;
- Attend court proceedings as a witness or representative as required;
- Contribute to governance, strategic initiatives, and ongoing improvements in internal processes and program development
Qualifications & Experience:
- Either a University degree / equivalent qualification (MQF 6) in financial Services, Banking and Finance, Economics, Law, Statistics, Accounting, Auditing or in any other subject, with at least 4 years work experience relevant to this post, OR an MQF Level 5 qualification in financial Services, Banking and Finance, Economics, Law, Statistics, Accounting, Auditing or in any other subject, with at least 5 years work experience relevant to this post;
• Experience in the scheduling and management of meetings and in minute taking;
• Proficiency in the use of Microsoft Office Word and Excel;
• Excellent written and verbal communication skills in the Maltese & English languages;
• Translation skills from the Maltese to the English language are considered an asset.
