We are currently recruiting for a client of ours, an HR Operations Coordinator who will join the Operations Department.

This role is responsible for coordinating all human resources activities for both existing and new projects within the region. The position involves close collaboration with individual Project Managers and the Operations Manager to ensure that operations receive high-quality HR support across the company's areas of operation.

Main duties & Responsibilities:

  • Ensure that all personnel and third-party providers operating in the region are fully informed of and comply with all company HR-related policies and procedures;
  • Coordinate and manage the mobilisation of staff, including handling Fitness to Work (FTW) certifications, vaccination confirmations, visas, flights, accommodation, and insurance;
  • Liaise with clients or Project Managers regarding the mobilisation of staff members;
  • Ensure the proper provision of uniforms, lanyards, and PPE to all company staff as needed;
  • Assist the project and operations departments in recruiting qualified personnel, including reviewing or creating job descriptions, conducting recruitment drives and headhunting, managing applicants, and providing support during the interview process according to company policies and procedures;
  • Oversee the HR aspects of the induction process for all staff members in line with company policies and processes;
  • Maintain and manage all HR personnel records, ensuring they are up to date and compliant with GDP requirements;
  • Maintain an updated roster for all projects and sites;
  • Prepare and maintain country and site organizational charts;
  • Approve time sheets from all sites and ensure they are submitted to the accounts department on time;
  • Identify and resolve discrepancies in time sheets and payroll records;
  • Provide administrative support to the team as needed on a daily basis;
  • Collaborate with in-country HR personnel to organize performance appraisals, investigate incidents, manage poor performance plans, and implement the outcomes of disciplinary procedures as required;
  • Provide HR support to in-country personnel and Project Managers in regions without in-country HR resources, including handling grievances and disciplinary actions;
  • Ensure timelines and deadlines are met, and organize overtime work for yourself and others as needed to achieve deadlines;
  • Work closely with the training department to ensure that company and client training requirements are fulfilled;
  • Perform other duties as required from time to time to support the proper operation of the business within your capabilities;
  • Adhere to all company HSSE (Health, Safety, Security, and Environment) policies and initiatives, and proactively promote an HSSE-conscious work environment;
  • Undertake any additional duties assigned by the company, aligned with your skills, competencies, and experience.

Skills & Competencies:

  • Excellent communication skills, with the ability to engage effectively at all levels;
  • Strong negotiation abilities;
  • Keen attention to detail;
  • Highly organized and efficient;
  • Capable of working under pressure, both independently and as part of a team;
  • Exceptional time management skills;
  • Proficient in using the Microsoft Office suite;
  • High proficiency in English;
  • Adaptable to working in ambiguous environments;
  • Deadline-oriented with a strong focus on timely delivery;
  • Knowledge of additional languages is a plus

Experience:

  • Previous experience in Operational HR, preferably involving remote projects and personnel;
  • Ideally, at least 2 years of experience in general HR
