Our client is seeking an organised and detail-oriented HR Coordinator to support the day-to-day operations of the Human Resources function. The role will have particular responsibility for work permits and immigration documentation, time and attendance monitoring, onboarding, employee benefits, and general HR administration.

The successful candidate will ensure that employee records remain accurate and compliant, permit processes are managed effectively, attendance exceptions are followed up in a timely manner, and the wider HR team is supported across the employee lifecycle.

Key Responsibilities:

Work Permits & Immigration

- Manage work and residence permit applications from preparation through to submission, renewals, biometric appointments, and follow-up.

- Liaise with Identità and other relevant authorities.

- Maintain accurate records of permit status, expiry dates, and renewals.

- Coordinate documentation for international employees, including required certificates and qualifications.

- Support compliance with skills cards, trade certifications, and statutory requirements where applicable.

- Verify that outsourced and subcontracted workers hold valid employment and compliance documentation.

Time & Attendance

- Monitor and resolve attendance exceptions to ensure accurate payroll data.

- Prepare reports relating to attendance, leave, and sick leave.

- Coordinate with payroll and operational teams to resolve discrepancies before payroll deadlines.

- Provide support on project-related attendance and scheduling matters when required.

- Escalate relevant attendance, overtime, or scheduling issues through the appropriate channels.

HR Administration

- Coordinate onboarding activities, including documentation, welcome materials, and first-day arrangements.

- Support employee health insurance, benefits, and engagement initiatives.

- Maintain accurate employee records and HR systems in line with GDPR requirements.

- Assist with company events and staff activities.

- Respond to general HR queries and provide administrative support throughout the employee lifecycle.

- Maintain organised HR files, templates, and documentation.

Compliance & Workplace Standards

- Support compliance with company policies, procedures, and legal requirements.

- Promote adherence to quality, environmental, health, and safety standards.

-  Support a respectful and inclusive workplace by escalating any concerns relating to harassment, discrimination, or inappropriate conduct.

Reporting & Working Relationships

The HR Coordinator will be based at Head Office and will report to the HR Executives. The role will work closely with HR, Payroll, Health & Safety, and Operations teams

Experience & Requirements:

- Previous hands-on experience with work permit and immigration processes, including liaison with Identità.

- Strong administrative and organisational skills with excellent attention to detail.

- Experience handling confidential employee information.

- Good knowledge of HR systems and Microsoft Office applications.

- Ability to manage a compliance-sensitive workload independently.

- Good written and verbal communication skills in English.

- Experience using an HRIS such as Shireburn.

- Previous exposure to time and attendance monitoring.

- Experience supporting onboarding, employee benefits, or HR administration within a multi-entity organisation.

- Additional language skills will be considered an asset.
