Our client is seeking a proactive, organised, and customer-focused Front Office Administrator to manage reception operations and provide a professional and welcoming first point of contact for visitors and colleagues.
As part of the People & Corporate Services team, the selected candidate will play a key role in maintaining high service standards across reception and administrative functions. This position requires strong organisational skills, attention to detail, and the ability to manage multiple tasks efficiently.
Key duties & Responsibilities:
- Welcome and assist visitors in a professional and friendly manner, ensuring a positive first impression;
- Oversee the daily operations of the front desk to ensure smooth and efficient functioning;
- Manage incoming mail and correspondence, ensuring accurate logging and distribution;
- Handle incoming calls and emails, responding to queries or directing them appropriately;
- Coordinate meeting arrangements, including scheduling, room setup, and logistics;
- Perform general administrative duties such as filing, calendar management, and record keeping;
- Maintain a tidy, organised, and welcoming reception area;
- Build and maintain effective working relationships with colleagues, stakeholders, and service providers;
- Manage and update the Visitor Management System;
- Provide support with basic finance-related tasks when required;
- Assist with travel arrangements for staff;
- Support the organisation of events, training sessions, and internal activities;
- Carry out additional administrative duties as assigned by management.
Qualifications & Experience:
- MQF Level 4 qualification, ideally in Administration or Secretarial Studies, together with at least 2 years’ relevant experience; or
- A school leaving certificate with a minimum of 5 years’ relevant work experience;
- Excellent written and verbal communication skills in both Maltese and English;
- Strong proficiency in Microsoft Office and other office productivity tools;
- Professional and approachable personality with a positive attitude and strong ethical standards;
- Highly organised with strong attention to detail;
- Ability to maintain high service standards across a variety of administrative and front-facing duties
