Key Responsibilities:
- Maintain and update the subject person database and records for the Enforcement Section, ensuring they are current at all times and promptly notifying management of significant changes.
- Coordinate and oversee the collection and upkeep of Enforcement data, ensuring accuracy and compliance.
- Assist in the preparation and distribution of Enforcement Letters, including address verification, printing, scanning, obtaining signatures, and coordinating delivery and email correspondence.
- Accurately record and manage statistical data relevant to the Enforcement Section.
- Handle incoming and outgoing correspondence, directing it to the appropriate officers and supporting the drafting of outgoing communications.
- Manage document retention and storage processes, ensuring all records are accessible when needed.
- Respond to queries via email and phone, directing them to the relevant officers or departments, including managing Enforcement mailboxes.
- Assist with scheduling, booking, and attending meetings and events, and prepare and organise meeting minutes as required.
- Provide support for court-related activities by preparing documents and evidence for legal proceedings.
- Liaise with the IT Department as needed to resolve technical issues.
- Carry out various administrative tasks, including filing, scanning, labelling, and printing documents.
- Provide comprehensive administrative support to Enforcement staff and perform additional tasks as assigned by the management team.
The ideal candidate should possess at a minimum, an A-level standard of education (MQF Level 4) along with at least 2 years of experience in a similar role. Those with a school-leaving certificate will also be considered eligible, provided they have a minimum of 5 years of experience in a similar position. Fluency in both Maltese and English is required, and proficiency in Microsoft Office tools is essential. Additionally, demonstrated experience in a similar role and possession of a relevant ICT qualification will be considered an asset.
